The Rights and Wrongs of a Remote Working

Recent events have seen the biggest sea change in the way commerce operates in living memory. Without warning businesses had to overnight change the way they had been operating for generations and it would be fair to say some have adapted better than other.

Perhaps the biggest challenge has been the requirement to suddenly deploy and manage a remote workforce where previously the entire infrastructure had been based upon people coming to the office.

There is usually a right and wrong way of doing things and deploying a remote workforce to ensure both security and efficiency is no different. Making the transition from an office base to home working requires careful thought, planning and execution.

How you Can Get Things Wrong

One of the most common mistakes in facilitating remote working is to throw random software and technology at the problem in a desperate attempt to join things up.

This strategy often results in employees feeling confused and overwhelmed as they try to cope with their new circumstances and typically leads them to finding workarounds in their search for a degree of familiarity and safety, often resulting in your key information resting in platforms over which you have no control, are vulnerable to security breaches, or worse just plainly non-compliant.

Rather than depositing a range of software applications on your employees with the potential of delivering confusion, look to deploy a central document management system. This first step will ensure that everyone, wherever they are located and regardless of which device they are using, will have a central organised point to work from.

Once you have a central platform you can then begin considering how you wish to employ it. Which departments and documents do you wish to include, who will be given access and what can they view and process?

Some of the data you currently hold may already be maintained in electronic form and easily uploaded whilst others may first need to be scanned.

When you have all of your information housed in a single location you are in a far better position to ensure its security. This is achieved by controlling exactly who can access which data and in turn their respective permissions to process it down to individual document level if desired.
