The Challenge

Owing to Romulus Holdings Group’s significant growth over a number of years, a sizeable archive of filing relating to their property portfolio had accumulated and was being stored both within their offices and offsite.

The current arrangements made it difficult to easily locate information required, causing frustration and delay as well as taking up expensive office space needed for further expansion.

The challenge was to make key information immediately accessible to authorised personnel wherever they may be and on whatever device and to remove the high volume of filing held in hard copy within the offices.

The Solution

The solution was to develop a means by which property related filing could be securely stored and retrieved either individually or collectively, accurately, and quickly.

Following an initial consultation, it became clear the Romulus Holdings Group wished to move away from traditional filing methods and begin enjoying the benefits of a paperless office but in a controlled and budget sensitive manner.

From these discussions, BPMS developed a plan whereby Romulus Holdings Groups property related filing would be scanned on an ongoing basis and that these files would subsequently be located within BPMS ONLINE their cloud-based document management solution.

As a result, property files are now available securely 24/7 to those with access permission and may be retrieved either via the document title or through any contained text. Moreover, because the solution is cloud based, access may be achieved from any location and on any device
